5 HR Documents Every Small Business Needs

This post is outside my usual marketing realm, but is an important topic for every small business. Often human resources documentation is the last thing on a growing business’ radar. I’m guilty as charged.

As I’ve been shoring up our HR processes and documentation, I compiled a list of the documents every small business needs:

  1. I-9 Form Vault – Make sure you have all your employee I-9 forms and supporting work eligibility documents in a single folder because the U.S. government can ask to see proof at any time.
  2. Employee Handbook – This is one I used to roll my eyes at, however, I’m finding the necessity for one as we grow. It’s really handy to have FAQs such as paid holiday hours and reimbursement rates in a single document. When employees ask questions, you can simply refer to the manual rather than sifting through emails.
  3. Employee Performance Review Form – With the help of an HR consultant, I’m working to create one that’s not onerous to complete and doesn’t suck the life out of both the employee and reviewer. I’ll post an update on how this one goes.
  4. Required Notice Postings – There are various state and local requirements for posting regulations, covering everything from paid sick leave to discrimination laws. All in One Posters offers combined state and local posters for $20-$25.
  5. Medical Files – Even if you do not offer health insurance, you should still keep files such a disability information and emergency contact numbers. If you offer health insurance, your provider will advise on the paperwork you need to keep.
